Preamble
At KNIPSS Engineering Institute, we are dedicated to fostering a culture of continuous improvement and excellence in education. We recognize that the insights and perspectives of our diverse community—including students, faculty, alumni, parents, academician and employers—are invaluable in shaping our programs and services. To systematically gather and utilize this feedback, we have established this comprehensive Feedback Manual. By engaging our stakeholders in this collaborative process, we aim to ensure that our offerings remain responsive to evolving needs, uphold the highest standards of academic and institutional quality, and prepare our graduates to excel in their respective fields.
Introduction
This manual outlines a robust framework for systematically collecting, analysing, and utilizing feedback from key stakeholders— students, faculty, alumni, parents, academician and employers aimed at continuously enhancing the quality of education and institutional effectiveness. In an ever-evolving academic landscape, regular and structured feedback plays a pivotal role in fostering innovation, addressing challenges, and aligning the Institute offerings with the diverse needs and expectations of the community. This approach ensures that the Institute remains adaptable, forward-thinking, and committed to student success and overall institutional growth.
Objectives
- Stakeholder Engagement: To systematically gather and act upon insights from all major stakeholders regarding various aspects of the Institute operations, fostering a collaborative culture of improvement.
- Continuous Improvement: To identify strengths, opportunities, and areas for development across all facets of Institute life, from academic curriculum to student services, ensuring an ongoing process of refinement and enhancement.
- Strategic Action: To transform collected feedback into actionable strategies that drive tangible improvements, contributing to an enriched academic environment that supports the overall goals of the institution.
Feedback from stakeholders
The multiple stakeholders of the college are: Students, Faculty, Alumni, Parents, Academician and Employers.
Students Feedback:
The students are the most important stakeholders in the institute. The standard students feedback formats will be circulated from IQAC to the students through the department to understand about the all aspects of curriculum including the course content, learning resources, learning environment, quality of delivery and assessment. This shall be collected under the supervision of the department with minimum of once in mid of semester, at the end of each course/program every year. Feedback is sought from them in six major sections as under.
Section I- Mid-Semester Feedback: Gathering mid-semester student feedback can encourage self-reflection and continuous improvement, two essential tools for faculty development. It helps faculty gauge what’s working and what could be better in their courses. Also, it can inspire small adaptations to improve the student experience or guide future course planning. Moreover, collecting—and acting on—student feedback signals to students a faculty willingness to meet their needs, and promotes a sense that they are valued members of the learning community.
Section II- Feedback on Expert Lecture/Workshop/Seminar: This feedback of students provides valuable insights into how well the curricula align with industry standards, emerging trends, and professional requirements. It can also be used to refine delivery methods, enhance interaction, and improve overall learning experiences. This feedback shall be collected from the students as applicable during the course in a semester.
Section III- Industrial Visit Feedback: The feedback of students regarding their internship and industrial visit experience is taken to reveal overall its effectiveness and impact on students. The feedback is crucial in assessing the effectiveness of these co-curricular activities in bridging academic learning with practical and real-world experience. This feedback provides valuable insights into how well the programmes align with students' expectations, whether they enhance interest in their chosen fields, and how effectively they are structured. Also, it helps to take mid-course corrective measures. This feedback shall be collected from the students as applicable during the course in a semester.
Section IV- Course Exit Survey: A course exit survey a structured tool is used at the end of a course to gather student feedback about their learning experience, teaching effectiveness, and overall satisfaction. It helps institute to evaluate the extent a course under consideration and the teaching methodology that have been practiced have contributed towards the attainment of course objectives. This feedback shall be collected from the students at the end of the course in a semester. The feedback is analysed and teachers are advised accordingly by Head of Department for improvement.
Section V- Feedback on Faculty: Feedback on faculty by students an important quality enhancement mechanism is adopted by institute to evaluate the effectiveness of teaching–learning processes. It is a structured process through which students provide their opinions and perceptions regarding various aspects of faculty performance such as subject knowledge, teaching methodology, communication skills, punctuality, syllabus coverage, use of teaching aids, interaction in the classroom, and overall academic support. The feedback is usually collected through well-designed questionnaires or online feedback systems at the end of each semester. The collected responses are analyzed objectively to identify the strengths and areas requiring improvement for individual faculty members. The outcome of the feedback is communicated confidentially to the concerned faculty and is used for performance appraisal, professional development, and planning of training programs. This system helps in improving teaching quality, enhancing student satisfaction, and creating a student-centric academic environment. Thus, student feedback serves as an effective tool for continuous improvement and academic excellence.
Section VI- Feedback on Facilities: This will entail feedback about all the infrastructure and facilities in the Institute. All areas of institute dealing with students namely classrooms, library, availability of online platforms for various classes, wi-fi and internet facility, conduct of staff, rest rooms & drinking water, medical, extra-curricular & co-curricular activities, mentoring system, redressal and grievance, placement, accessibility for differently abled person and campus life shall be covered in this particular feedback. This shall be collected once a year from all the students irrespective of their semester/year. However, major emphasis would be on the graduating students of final semester/year to understand their overall impression related to the institute during their course of study.
Section VII- Program Exit Survey: Program exit survey is an essential tool for gathering feedback from students upon completion of their academic programs. This program exit survey would enable us to know as to what extent the program under consideration and the teaching methodology that have been practiced in the institution have contributed towards the attainment of program outcomes and thereby helping institute to improve their educational offerings. This survey is intended for final semester & pass out students.
Professional (Academic/Industry) Feedback:
In the context of obtaining structured feedback on curricula and syllabi, feedback from academician is taken who possess expertise and practical experience in a specific field of the academic programs offered by the institution. The purpose of this feedback is to obtain the academic peer’s input on the overall educational environment in the Institute. This feedback will specifically target the inputs of teachers on curriculum design & revision, employability, examination patterns & reforms, teaching methods and overall teaching-learning environment. The feedback from academician will be collected through personal or emails deans/heads once during an academic year.
Parents’ Feedback:
KNIPSS institute collects feedback from parents towards institutional delivery of academics and their overall satisfaction related to the progress of their ward, in the concerned department. The collected feedback by the department is submitted to the respective deans for analysis and necessary actions. KNIPSS institute also regularly apprise parents and guardians with the academic and professional growth of their ward.
Employers’ Feedback:
The purpose of this feedback is to obtain the employers input on the quality of the graduates/diploma holders at Institute and to assess whether the expectations of recruiters were fulfilled. The student’s ability to handle the professional situations and knowledge acquired during their learning can also be assessed. This feedback shall be collected from the Employers’ as applicable.
Alumni Feedback:
The purpose of this feedback is to obtain the inputs from the alumni on the quality of course/program at KNIPSS Institute. This will also help in assessing the extent of attainment of the program outcomes. This feedback will be collected from all participating alumni of KNIPSS Engineering Institute through heads once during an academic. The collected feedback will be submitted by the head of the department to the respective Deans of faculty for analysis and necessary action at their end.
Ensuring Anonymity and Confidentiality
To encourage honest and constructive feedback, all responses will remain anonymous, and stakeholders will be assured of strict confidentiality. Clear communication regarding the purpose of the feedback collection and its use for continuous improvement will further build trust in the process.
Feedback Mechanism
KNIPSS Engineering institute, a dynamic institution comprising 05 diverse faculties, recognizes the importance of uniformity and standardization in its operational procedures. To ensure consistency and excellence, these feedback guidelines are universally applicable across all faculties. In its mission for continuous improvement in all sectors, academic or administrative KNIPSS institute has entrusted IQAC with the responsibility for arranging feedback responses from all stakeholders on quality related institutional processes. However, it is equally important for each faculty to establish complementary internal mechanisms for collecting feedback from students and faculty members. These internal systems will support and enhance the central feedback process, fostering continuous improvement tailored to the specific needs of each faculty.
Outcome-Based Education Framework
The feedback mechanism is deeply rooted in the principles of outcome-based education (OBE). This approach ensures that academic programs and teaching methodologies are aligned with well-defined learning outcomes, enhancing the overall effectiveness of the educational process.
Action Plan and Implementation
Developing Action Plans Based on feedback, clear and actionable items will be developed and prioritized, ensuring they are aligned with the institute overall objectives and available resources. Responsibilities for implementing each action item will be assigned to appropriate departments or individuals.
Implementation Action plans will be executed within a set timeline, with necessary resources allocated to ensure successful implementation. Regular updates will be provided on the status of each action item to ensure accountability and progress.
Monitoring and Review The progress of action items will be regularly monitored to assess their impact and ensure alignment with objectives. Also, subsequent feedback cycles will evaluate the effectiveness of implemented changes, allowing for continuous refinement and adjustment. The stakeholders will be informed about the actions taken based on their feedback showcasing the institute commitment to continuous improvement and the value placed on their contributions.
Continuous Improvement
The feedback process itself will be periodically reviewed and updated to enhance its relevance, efficiency, and effectiveness in capturing the evolving needs of stakeholders. The institute will continue to foster a culture where stakeholders feel valued and empowered to provide feedback, knowing their voices contribute to the betterment of the institution.
The institute will not only improve educational quality but also strengthen its relationship with stakeholders, ensuring that it remains a dynamic, forward-thinking institution that continually adapts to meet the needs of its community.
